Cancellation Policy

1. Reservation Cancellations
At Palminae, we understand that plans can change. Our cancellation policy is designed to be fair and flexible while maintaining the high quality of service our guests expect. Please review the following cancellation terms:
2. Standard Cancellation Policy
For standard reservations during non-peak periods:
- More than 14 days before arrival: Full refund of deposit
- 7-14 days before arrival: 75% refund of total reservation cost
- 3-7 days before arrival: 50% refund of total reservation cost
- Less than 3 days before arrival: No refund
All cancellations must be made in writing via email to [email protected] or through your online account.
3. Flexible Cancellation Option
For an additional 10% of your total reservation cost, you can select our Flexible Cancellation Option at the time of booking, which allows:
- Full refund for cancellations made up to 48 hours before scheduled arrival
- One complimentary date change, subject to availability
The Flexible Cancellation Option fee is non-refundable.
4. Holiday and Peak Season Cancellations
For reservations during holiday periods (December 15 - January 5, all federal holiday weekends) and peak ski season (February 1 - March 15):
- More than 30 days before arrival: Full refund of deposit
- 14-30 days before arrival: 50% refund of total reservation cost
- Less than 14 days before arrival: No refund
Holiday and Peak Season reservations are not eligible for the Flexible Cancellation Option.
5. Group Booking Cancellations
For group bookings of 5 or more rooms:
- More than 60 days before arrival: Full refund of deposit
- 30-60 days before arrival: 75% refund of total reservation cost
- 14-30 days before arrival: 50% refund of total reservation cost
- Less than 14 days before arrival: No refund
Custom cancellation terms may be arranged for large groups at the time of booking.
6. No-Shows
Guests who fail to arrive on their scheduled check-in date without prior notification will be classified as a no-show and will forfeit their entire reservation payment.
7. Early Departure
No refunds will be issued for early departures or unused nights of a confirmed reservation.
8. Late Arrival Due to Weather
We understand that winter weather conditions can affect travel plans. If you are unable to reach the property on your scheduled arrival date due to severe weather conditions:
- Contact us as soon as possible at +1 (800) 555-SNOW
- We will make every effort to accommodate a delayed arrival without penalty
- Documentation of travel disruption may be required
This policy applies only to weather conditions that make travel impossible or unsafe, not to minor delays or inconveniences.
9. Modifications to Reservations
Changes to existing reservations are subject to availability and the following conditions:
- Date changes requested more than 14 days before arrival may be accommodated without penalty, subject to availability and any rate differences
- Date changes requested less than 14 days before arrival will be treated as a cancellation and new booking, subject to the standard cancellation policy
- Reducing the length of stay less than 7 days before arrival will not result in a refund for the unused nights
10. Force Majeure
In the event of circumstances beyond our control (including but not limited to natural disasters, government actions, or other force majeure events) that render the property uninhabitable or impossible to operate, we reserve the right to cancel reservations without liability. In such cases, we will offer:
- A full refund of all payments made
- OR a credit for a future stay, with a 20% bonus value added
